The Executive Assistant is part of the Executive Minister’s Office (EMO). The overall mandate of EMO is to lead in the development and implementation of CBOQ’s mission to equip our churches and their leaders to engage in their mission from God in their community.

Under the supervision of the Executive Minister, the Executive Assistant role focuses on the successful support and operation of the Executive Minister’s Office.

Overview of Church and Community

Based in Etobicoke, Canadian Baptists of Ontario and Quebec (CBOQ) equips churches and leaders as they engage in their mission from God in their community. Comprised of about 340 churches, CBOQ is training, equipping and caring for pastors. We are helping to plant fresh expressions of faith, strengthening existing churches and connecting them with the tools and opportunities they need to thrive. We are serving the next generation by creating resources and experiences for young people and their leaders to expand their love of God and love of each other. We’re telling our churches’ stories to encourage and inspire them, building up our whole family through the good news of what Christ is accomplishing through us. Qualifications and Education Requirements

  • A mature faith in Jesus Christ and a commitment to serve through the church
  • Commitment to the mission, faith and core values of CBOQ
  • Demonstrated high proficiency with Microsoft Office suite and database management
  • 3-5 years of experience in a similar role
  • Understanding of how CBOQ operates would be considered an asset

Role and Responsibilities

  • Live out CBOQ's mission, vision, and values
  • Proactively coordinate the meetings, priorities, projects and events of the Executive Minister’s Office
  • Provide administrative support to the Executive Minister, including preparation of correspondence, filing, mass mailings, appointment scheduling, email contacts, arranging travel, processing expenses
  • Organize logistics for face-to-face and conference call Board, Executive Committee, Strategic Planning Committee and Nominations Committee meetings: communicate to board/committee members all relevant details regarding meetings, coordinate development of meeting agenda and administer all details during meetings, including taking minutes
  • Act as Board Secretary
  • With the Treasurer, maintain Corporate Minute Book and Board Policy Manual
  • Prepare the Nominations Report for CBOQ Assembly
  • Compile and edit Annual Report book
  • Supervise the Receptionist and provide feedback, coaching and formal evaluations
  • Ensure adequate coverage at reception during Receptionist vacations, illness and other absences
  • Work with other staff in a cooperative effort to complete tasks of common concern to the whole office, including tasks related to our annual Assembly
  • Other duties as assigned by the Executive Minister
