Qualifications and Education Requirements
- Faithful to the Lord, spiritually mature, and aligned with the Baptist faith and the church’s vision.
- Demonstrates a godly lifestyle, confidentiality, loyalty, and reliability.
- Possesses strong writing, administrative, bilingual (Chinese/English) communication, coordination, and time-management skills.
- Able to maintain both order and spiritual balance amid complex and busy tasks.
Role and Responsibilities
Core Responsibilities (Four Key Functional Roles)
Coordination and Liaison Function
- Serve as the primary communication bridge between the Senior Pastor, the Deacon Board Chair, and the coworker committees of each congregation.
- Ensure that meeting information, decisions, and action items are properly conveyed, followed up, and implemented, avoiding any gaps or omissions.
- Proactively remind and coordinate the preparation and implementation of the Annual Church Calendar, ensuring synchronization across all congregations.
- Remind all departments to submit reports, budgets, summaries, and ministry plans on time.
Administrative and Operational Execution Function
- Manage the administrative system of the church office (archives, equipment, supplies, contracts, insurance, correspondence, etc.).
- Maintain member records, baptism lists, and ministry rosters.
- Supervise the preparation and publication of the Sunday Bulletin.
- Assist with finance and logistics: budget compilation, receipt management, and expense verification.
- Coordinate administrative arrangements for all-church events (such as retreats, camps, VBS, Easter, Christmas, etc.).
Meeting and Decision Execution Support Function
- Collect and preserve meeting resolutions from the Deacon Board and the coworker committees of each congregation.
- Compile and maintain Meeting Decision Tracking Sheets, regularly reminding responsible parties of follow-up actions.
- Prepare materials for the congregational meeting, including voting or ballot documents, record minutes, and archive them properly.
Information and Communication Function
- Manage internal communication networks (chat groups, email lists, bulletin systems).
- Remind pastors and deacons of key deadlines (report submissions, event preparations, budgets, etc.).
- Maintain the church’s shared calendar, cloud documents, and website updates.
